EasyMAcc : Quick Reference Guide ...
Version 1.0 : August 2004

About The Software : If you only sell a small selection of fixed-priced products through your website or other online store, then you will probably want to track your sales/profits without having the need for using a full spreadsheet or dedicated accounting package ...

EasyMAcc was designed to offer merchants a simple way to create a list of their products, set the prices for each, then quickly update the quantities as sales come in while the program takes care of automatically calculating all the total values. Fast and easy!

Getting Started ...

Main Program : This screenshot (right) shows the basic program layout. The top bar includes button links for 5 accounting pages (which contain 10 products on each), plus transfer and setting pages.

Type your product names/descriptions in the first column and the prices (or profits) in the second. Then simply click the quantity spin edit controls and the individual product totals will be calculated for you, plus the overall balance at the top.

All data will be saved on exiting the program and will be restored the next time you start, so there is no need to save anything manually.

Transfer Page : At the end of each month you may want to keep a record of your sales for that period. Click on the "Transfer" button in the top bar section to display this page ...

When you click a "Transfer" button in any of the month sections, then the current total will be copied into the month box and a plain text file report will also be automatically created, containing details of the products sold (names, prices, totals, etc).

You can view the text file reports by clicking the "Report" button in the month sections.

Report Page : After transferring your accounts to a month box, click the report button in that section to view the text file. This will display the report page seen in the screenshot here.

If you want to copy this text to paste into another program then just click the "Copy To Clipboard" button in the top bar. Click the "Close Report Window" button to return to the transfer page.

If you click the "Compile Year Report" button on the transfer page then the report will combine ALL the text from any monthly report files that have been created and provide a final year balance.

Settings Page : You can customise the interface to suit your personal preferences by choosing different colours for a selection of the controls.

Clicking on any of the boxes will display the standard Windows colour dialog box (not shown), where you can select your colours. Any change in settings will be immediately applied.

You can also change the text in the program's titlebar for easier reference to your work, plus choose from 3 different currency display options (Dollars, Pounds and Euros).

Pop-Up Menu : If you right-click anywhere in the top bar then a pop-up menu will be displayed ...

You can quickly clear ALL product names, prices and quantities, plus ALL details on the transfer page. WARNING : These operations cannot be reversed! You can also reset the interface colours to their default values or view the "About" box.

Additional Information : This program automatically creates a number of plain text files during use ...

EasyMAcc.ini : You will find this in your Windows folder. It stores all your main data for the program, including product names, prices, quantities, totals, titlebar text, currency format and interface colours. If you delete this file then you will loose all currently saved data so keep a backup if you need to.

All other text files are stored in the same folder as your EasyMAcc.exe program file ...

Report01.txt to Report12.txt : When you click the "Transfer" buttons for each month on the transfer page, then plain text file reports are automatically created for you. These contain details of sales including product names, prices, quantities and totals.

ReportYear.txt : If you click the "Compile Year Report" button on the transfer page then it will combine ALL the text from any report text files that have been created and save a new file containing this data plus the final total balance for the whole year.

You can view any of the above text files using any text-editor program, i.e. Windows Notepad.

Please be aware that if you choose the "Clear Transfer" option from the pop-up menu in the program then it will also DELETE all the above text files! However, if you clear the transfer page and then realise you didn't save all your reports, don't worry as backup copies were also created ...

Backup01.txt to Backup12.txt plus BackupYear.txt : These are duplicate text files that were created at the same time as the main reports. If you cleared the transfer page by mistake or forgot to backup your report files manually, then you can refer to these text files for the previously-saved report information.
